How Equaudit works: from a payroll CSV to a pay gap report

By the Equaudit team · Updated · 3 min read

Equaudit is built for companies with roughly 100 to 500 employees that need to produce the pay gap indicators required by the EU Pay Transparency Directive without buying a full HR suite or hiring consultants. The whole workflow is a CSV upload. This page explains each step.

Step 1: export your payroll data

Ask payroll for one row per employee with four columns. Hourly pay is gross. If you hold annual pay, divide by paid hours as described in how to calculate the gender pay gap.

ColumnContentRequired
genderF or M. Femme, Homme, Female and Male are accepted tooYes
job_categoryYour category of workers doing the same work or work of equal valueYes
base_hourly_payGross hourly ordinary basic payYes
variable_hourly_payGross hourly equivalent of bonuses and other variable componentsNo (defaults to 0)

Commas, semicolons and tabs are detected automatically, and decimal commas work. Lines with an invalid gender, a missing category or a non-positive pay are skipped and listed, and the upload is rejected if more than one line in ten is invalid. A sample file is available on the new analysis page.

Step 2: upload and analyse

Create a free account, confirm your email and choose New analysis. Name the report, set the reporting year and upload the file. The analysis runs in a few seconds.

Step 3: read the results

  • Mean and median gender pay gap, using (men − women) ÷ men × 100.
  • Categories at or above 5%, flagged for investigation, with small samples marked. See the 5% rule.
  • Variable pay, as the gap among recipients and among all workers, and the share of women and men receiving it. See the bonus and variable pay gap.
  • Pay quartiles, with the share of women and men in each band. See pay quartiles explained.
  • Category breakdown, for both base pay and total pay.

Free accounts see the mean and median gap and the number of categories at or above 5%. Pro unlocks the detailed indicators, CSV export and a print-ready report.

What happens to your data

Your CSV is read in memory during the request and is not written to disk or to the database. Equaudit saves only the results: percentages and head-counts. Individual salaries, genders and categories of identifiable people are never stored, so a database leak could not expose who earns what. You can delete your account and every saved report at any time from your settings, and signing in is protected by verified email, lockout after repeated failures and session revocation when you change your password.

What Equaudit does not do

  • It does not define your job categories for you. That judgment belongs to you and should follow the criteria in defining job categories.
  • It follows the directive's female and male reporting format. Other gender values are not analysed.
  • It is an analysis aid and does not file reports with authorities or give legal advice. National rules on formats, dates and thresholds may differ.
